We are seeking a Part-Time Referral Coordinator to join our Patient-Centered Medical Home team. This role provides administrative support to patients, families, and care team members to ensure efficient workflow and exceptional patient care. Evening and weekend shifts are required on a rotating basis.
SPECIFIC DUTIES AND RESPONSIBILITIES:
Referral Duties:
- Processes referrals for outside specialists and testing in accordance with Referrals Policy and Procedure.
- Schedules consultation and diagnostic appointments for patients per provider/assistant request and documents necessary information.
- Completes requested forms for insurance and referring physician offices.
- Obtains insurance authorization for appointments, if necessary.
- Contacts patients to provide appointment date, time, location and preparation information for appointment, if appropriate.
- Answers questions regarding patient appointments and testing.
- Answers telephone, screens calls, takes messages, and provides information.
- Responds to voice-mails, emails, faxes, and/or messages from patients/parents/guardians, insurance plans, office staff, and specialty referring physicians in an appropriate time frame.
- Tracks outstanding referrals until completed.
- Attaches correspondence/results from referring provider/facility to order and routes to provider for review.
Miscellaneous:
- Exemplifies excellent customer service with patients/parents/guardians, visitors, and other employees; shows courtesy, friendliness, helpfulness, and respect.
- Consistently demonstrates respect for the capabilities, different cultures and/or personalities of internal and external customers.
- Relates well, and works collaboratively as a team member with, all levels of staff in a professional manner.
- Attends daily huddles, weekly and monthly staff meetings.
- Consistently alters plans/routines when situation requires and continues to perform without projecting stress/frustration that would adversely affect the work environment.
- Maintains and ensures patient privacy and confidentiality.
- Takes the initiative to proactively assist other referral coordinators without direct supervision and to resolve problems with other departments and co-workers.
- Maintains open and effective communication with providers and employees to ensure quality patient care.
- Performs other duties as assigned.
Qualifications:
- Education: High school graduate or equivalent.
- Experience: One year experience in the medical or health insurance field.
